Job description

The assistant supports the smooth running of activities and processes related to the retention of external legal counsel by providing administrative assistance to the other team members in the Legal Service.

S/he will provide executive operational support to the Division and the Legal Service at large and ensure close cooperation with all team members as well as other internal and external counterparts.
The assistant will provide administrative support and will have the following responsibilities:
* Provide administrative assistance for invoicing:
o Reviewing and screening invoices and retention letters;
o Liaising with internal and external counterparts in relation to invoices;
o Processing invoices within existing or new IT systems;
o Processing payment requests and verifying payments;
o Review invoices and payments against existing or new budgets;
o Record and report invoice/budget related activities and processes.
o Drafting short notes, routine correspondence and edit materials;
* More generally provide secretarial assistance to the Division, including
* Undertake related electronic and paper filing;
* Communicate efficiently (face-to-face, phone, email) with the team members but also with internal as well as external clients; cooperate with the other teams' assistants and other interfaces;
* Act as back-up of the other teams' assistants in their absence;
* Participate in research on issues related to the team's activities.

Required profile

* Certified secondary level education;
* Minimum 2 years' administrative experience in a financial or audit environment and understanding of financial/legal documentation;
* Excellent knowledge of s standard computer tools and MS Office tools (particularly Excel and PowerPoint);
* Excellent written and spoken English; knowledge of French and/or other EU languages would be an advantage.
