Job description

For our client located in Esch-Belval, we are currently looking for an :

Administrative Assistant (M/F) 


  • Provide proactive and high-level office management and ensure a well organized day-to-day functioning for the head of the Office of the Rector and other team members of the extended office.

  • Build and maintain a relationship built on trust, in order to enable management to operate in an effective and efficient manner.

  • Able to anticipate or recognize issues and refer them immediately to the right person for resolution;

  • Ensure the confidential handling of sensitive documents and information and its adequate follow-up;

  • Ensure administrative activities such as reporting, presentations and budget follow-up;

  • Compose, check and send out internal and external communication on behalf of the head of the office and the team.  Ensure follow-up of communication and sort out daily all correspondences (mails, emails, notices, memos,...) segregating by importance, prioritizing them before handing it over with highlights on issues;

  • Agenda management for the head of office, including reminding about important tasks and deadlines.

  • Organize, prepare and follow-up on internal and external meetings, conferences and other events;

  • Contribute to setting up and/or improving administrative processes in the office;

  • Carry out basic background research as needed;

  • Act as back-up to the executive assistant to the rector, including in the organisation of weekly executive team meetings (rectorate meetings).


Required profile


• Several years experience in administration/secretary’s office;

• Bachelor Degree

• Fluency in English and French (in written and oral). Good understanding of German and/or Luxembourgish is a plus;

• Showing situational adaptability. Being able to act differently depending on the circumstances. Ability to work under pressure and meet deadlines, where necessary;

• Excellent communication and organizational skills with attention to details and accuracy;

• Proficiency with modern office software;

• Team player, able to work in an international, multidisciplinary and multicultural environment.


This is an opportunity for a 2-month contract, to start ASAP, with possible extension / permanent contract afterwards.

Salary range : 3,950 - 4,900€ gross per month + 13th month + lunch vouchers
